Getting Started
What is Bird Manager Pro?
Bird Manager Pro is a Windows desktop application for breeders and aviary owners. It brings bird records, breeding pairs, offspring, incubation, health, pedigree, analytics, finance, reports and backup into one connected workflow.
Who is Bird Manager Pro designed for?
It is designed for serious bird breeders and aviary owners who need accurate records, breeding history, lineage information and repeatable day-to-day workflows.
Which Windows versions are supported?
The current release is a Windows desktop application compatible with Windows 10 and Windows 11.
What should I enter first?
Start with accurate bird records in Birds. Ring Number is the primary reference used by connected modules such as Pairs, Breeding, Health and Pedigree.
Birds & Species Catalog
How do I add a bird?
- Open Birds.
- Enter the bird information in the Bird Details panel.
- Complete the required information, including Ring No.
- Click Add Bird.
How do I edit a bird?
- Select or double-click the bird in the table.
- Review the details loaded into the Bird Details panel.
- Change the required fields.
- Click Edit/Update.
How do I delete a bird?
- Select the correct bird.
- Verify the details.
- Click Delete.
- Confirm the deletion.
What information can a bird record contain?
Ring No, Breed, Sex, Color, Father, Mother, Born, Breeder, Owner, Status, Cage, Sexing Method and Remarks.
How do search and filters work?
The Birds search can filter by Ring Number, Breed, Status, Breeder, Cage, Owner and Remarks. The Breed filter narrows the table to a selected breed, and Clear restores the normal view.
How does the Species Catalog work?
Use the + button beside Breed to open Species Catalog. The documented workflow supports searching species, adding new breeds, editing breeds, deleting custom breeds and importing selected built-in species. Changes are reflected wherever that breed is used.
What does Bird Analytics show?
Bird Analytics provides Current Stock, Male Birds, Female Birds, Unknown Sex, Total Breeds, Total Records, plus breed, sex and status distribution charts. The View All Breeds report gives a searchable breed distribution view.
How do I use Sticky Notes?
- Open the Sticky Notes section in Birds.
- Double-click the note preview box.
- For a new note, enter a title/text and click Add.
- For an existing note, edit the title/text and click Update.
- Use Delete, Clear or Cancel as appropriate.
- Use the < and > controls to move between saved notes.
Can bird data be exported?
Bird records can be exported through the application's PDF, Excel and CSV workflows.
Pairs
How do I create a breeding pair?
- Open Pairs.
- Click Add Pair.
- Select the male and female birds.
- Enter the start date and cage information as required.
- Save the pair.
How do I edit a pair?
- Select the pair in the table.
- Click Edit Pair.
- Change the relevant information.
- Save the changes.
How do I end a pair?
- Select the pair.
- Click Edit Pair.
- Enter an End Date.
- Save.
A pair with an End Date is treated as inactive while remaining part of historical records.
What does Pair Analytics show?
Pair Analytics includes KPI cards for Total Pairs, Active Pairs, Ended Pairs and Breeds, plus Pair Information, Compatibility & Summary, breed distribution and active/ended status views.
What is Compatibility & Summary?
It summarizes the selected pair's compatibility result, relationship/risk information, shared ancestry/pedigree context and breeding recommendation as provided by the application's compatibility workflow.
What are QR Code PDF and Pair Card PDF?
After selecting a pair, use the Actions panel to create the available QR Code PDF or Pair Card PDF for that pair.
Breeding & Offspring
How do I add a breeding record?
- Open Breeding.
- Click Add Breeding.
- Select the breeding pair.
- Enter the offspring Ring No.
- Choose Sex when known.
- Add Notes if required.
- Save.
How do I edit a breeding record?
Select the breeding record and use the application's Edit Breeding workflow, then save the updated values.
How do I delete a breeding record?
Select the correct breeding record, click Delete Breeding and confirm the deletion.
Is a new offspring automatically linked to the parents?
When a new offspring Ring No. is entered during the documented breeding workflow, the application can automatically create the related bird record using the pair's parent information.
What does Breeding Analytics show?
It includes Total Offspring, Male/Female/Unknown distribution, Pairs Bred, Breeds, Offspring Sex Distribution, Breed-wise Offspring and Breeding Summary.
How do I use the Breeding filters?
Use Select Pair, date-range controls, quick ranges such as All/This Month/This Year, Apply/Reset and the search field to focus the table and analytics on the records you want to review.
How do I print breeding reports?
Use the Breeding Report PDF workflow for the selected breeding view, or use the complete Breeding Summary workflow for the full breeding dataset.
Incubation
How do I add an egg?
- Open Incubation and click Add Egg.
- Select an active breeding pair.
- Enter Egg No. and Laid Date.
- Review the Cage/Box and Expected Hatch information supplied by the workflow.
- Set Fertility and Status as appropriate.
- Add notes and save.
What egg information can I track?
Pair, Cage/Box, Egg No., Laid Date, Expected Hatch Date, Fertility, Status, Actual Hatch Date, Chick Ring No., Sex and Notes.
What fertility and status values are supported?
The documented workflow supports fertility states such as Unknown, Fertile and Infertile, and statuses such as Incubating, Lockdown, Hatched and Failed.
How is Expected Hatch calculated?
Expected Hatch is calculated from the available breed/incubation profile when the relevant profile is available. It is an estimate, not a guaranteed hatch date.
How do I search incubation records?
Use the search box together with the status and date filters to locate records. The startup view is designed to show the complete available dataset until you apply a narrower filter.
How do I print incubation reports?
Use the Print workflow and choose the available PDF or Excel output.
Health & Medical Records
How do I add a health record?
- Open Health.
- Click Add Record.
- Select the bird.
- Enter date, vet name, notes and result.
- Enter cost when applicable.
- Save.
How do I edit a health record?
- Select or double-click the health record.
- Edit the record in the Health edit dialog.
- Save/update the record.
How do I delete a health record?
- Select the correct record.
- Use Delete.
- Confirm the deletion.
What does Health Analytics show?
Total Health Records, Birds Treated, This Month Records, Total Medical Cost, Follow-up Pending, Health Status Summary, medical expense trend and Vet-wise Records.
How does Follow-up Pending work?
The Follow-up Pending KPI uses the latest health record for each bird. The dialog can be searched, and double-clicking a row opens the related health record for editing.
What health reports are available?
Vet Report reviews veterinary records, while Expense Report reviews medical expenses. The relevant report workflows provide their available search and export options.
How are health expenses linked to Finance?
Health-generated expenses can be linked to Income & Expenses. When a linked medical expense needs correction, update the source Health record so the connected financial information stays consistent.
Pedigree & Lineage
How do I view a pedigree?
- Open Pedigree.
- Select a bird.
- Click Show Pedigree.
- Review the multi-generation ancestry.
What information does Pedigree use?
The pedigree viewer uses the Father and Mother relationships stored in the Birds database. Missing parent Ring No. values reduce pedigree completeness.
What is AVK?
AVK provides the available ancestor/pedigree contribution view based on the recorded ancestry in the pedigree.
What is inbreeding analysis?
The documented Pedigree workflow calculates an inbreeding relationship from the recorded pedigree.
What else can I do with Pedigree?
The workflow can show repeated ancestry/lineage connections, and it provides a Print Pedigree option for producing a pedigree printout.
Analytics, KPIs & Reports
What are KPI cards?
KPI cards provide quick totals or summary values for the current module. Each module's KPIs reflect that module's relevant dataset rather than a generic application-wide number.
Can I expand or collapse analytics?
Yes. Analytics panels use the module's Show/Hide or equivalent toggle. The current design uses a responsive scrollable layout where additional space is required.
What report formats are available?
Depending on the module and workflow, Bird Manager Pro provides PDF, Excel and CSV export/report options.
How do date filters work?
Use the module's date range and quick-range controls, then Apply. Reset returns to the module's default range. The startup view for Breeding and Incubation is intended to show the complete available data until a narrower filter is applied.
Do analytics update after adding or editing records?
The application refreshes the relevant tables and analytics after normal add/edit/import workflows so the visible dashboard reflects the current records.
Income & Expenses
What can I record?
Income can cover bird sales, bookings, services, boarding and other income. Expense categories include bird purchases, feed, medicine, maintenance and other operating expenses.
How do I add an income or expense?
- Open Income & Expenses.
- Use Add in the Income or Expenses section.
- Enter the date, reference, bird/description, party, amount and category.
- Add notes if required.
- Save.
How do I edit or delete a transaction?
Select the transaction and use the available Edit or Delete action for the relevant Income or Expense table. Confirm deletions carefully.
What does Financial Analytics show?
Financial Analytics includes Total Income, Total Expense, Net Balance, Transactions, Income & Expense Trend, Category Analysis and Top Category Analysis.
How do Apply, Reset, All, This Month and This Year work?
Apply loads the selected date range. Reset restores the default range. All shows the available financial period; This Month shows the current month; This Year shows the current year.
How is currency handled?
Currency is controlled globally from Settings. Financial amounts remain numeric in the database and are displayed using the selected application currency.
How do I export financial reports?
- Set the desired date range and search filters.
- Click Print.
- Choose the available PDF or Excel format.
- Choose the destination file.
- Review the exported figures against the filtered view.
Settings, Import & Backup
What can I change in Settings?
Settings includes global preferences such as Currency and Date Format, plus backup-related controls.
How do I create a backup?
- Open Settings.
- Choose a safe backup destination.
- Click Run Backup Now.
- Verify the backup was created in the configured location.
How do automatic backups work?
Configure the backup interval, time/day where applicable, maximum backups to keep and related settings, then save the configuration.
How do I restore a backup?
- Open Show Backups from Settings.
- Select the required backup.
- Choose Restore and confirm.
- Allow the application to complete the restore/restart workflow.
- Verify your main records before removing any safety copy.
How do I import CSV or Excel data?
- Create a backup first.
- Open the appropriate File → Import workflow.
- Select the required CSV or Excel file.
- Review the import options/conflict mode.
- Run the import and review imported, skipped and error counts.
What should I check before a large import?
Check the source columns, duplicate Ring No. values, dates and numeric values. For full-data imports, review the selected conflict mode carefully.
Activation, Trial & Licensing
How long is the free trial?
The current Windows trial lasts 30 days.
What happens before activation?
An unactivated installation remains read-only. This means data-changing actions are protected until a valid trial or full activation is completed.
What happens after I activate the trial?
After successful trial or full activation, the application can operate in write-enabled mode. The first-run preferences for Currency and Date Format are then available for configuration.
What does “Skip for Now” mean on first-run preferences?
Skipping leaves the first-run preference setup incomplete so it can be offered again in a later session until the preferences are saved.
Is the full license a subscription?
No. The current Windows full license is a one-time purchase priced at ₹4,999.
Is the license tied to a device?
The current licensing system binds a full license to a device through a machine identifier during activation.
Is macOS available?
The macOS version is planned and currently presented as Coming Soon. The current release is for Windows 10/11.
Troubleshooting
A table looks empty. What should I check?
Review the current date/search filters first. Switch tabs or restart the application if needed so the module can reload its records.
An import result is not what I expected. What should I do?
Check the source columns and data types, review imported/skipped/error counts, and restore a pre-import backup if necessary.
Analytics looks stale. What should I check?
Refresh or switch tabs, confirm the selected date range/filter, and verify that the underlying records are present before concluding that data is missing.
When should I create a backup?
Create a recent backup before major imports, broad edits or restore operations. Keep a current production backup even during normal use.
